How to email receipts in Dubsado

It’s 2023…. Automation <when done right> makes us look good, amiright!


As small business owners, we NEED to keep our processes simple. It’s important to make sure that our clients/customers have everything they need without having to ask us for them. When we can automate small tasks, such as receipts…. Well that’s a no brainer in my book!

If you’re using Dubsado as your CRM, you mighttttt have noticed that they don’t automatically send receipts. And there’s no obvious way to do it.

But have no fear! Your Certified Dubsado Specialist is here!

 

Here’s the official Dubsado take on this situation:

If you use Stripe, Square or Paypal, then the invoice itself is your receipt.  Clients can print out or save their invoice after payment is made.  Dubsado will not email a receipt on it’s own. 

 

I have not just 1, but 3 options on how you can easily automate receipts in dubsado.  Pick which one works best for you!



You have 3 options:

Automate receipts through your payment processor.

Are you using workflows? Automate a receipt in a workflow

Did you receive check/cash/or payment elsewhere? Manually email a receipt.

 

|01| AUTOMATE RECEIPTS THROUGH YOUR PAYMENT PROCESSOR

You have to do this THROUGH your payment processor. Not through Dubsado. If you’re getting paid online, which payment processor are you using?

  • Dubsado payments: If you’re using Dubsado payments, your client will get a receipt automatically. You don’t have to do a thing! THIS IS THE WAY*

  • Stripe: Settings > Customer emails > toggle on “Successful payments”

  • Paypal: Paypal automatically sends receipt emails.

  • Square: Go into your settings and turn on notifications.


 

|02| AUTOMATE RECEIPTS IN A WORKFLOW

If you are NOT using Dubsado payments, and you ARE sending invoices through a workflow, then you can send an email with payment information there. Here’s how:

  • Action: SEND EMAIL

  • Trigger: AFTER INVOICE PAID IN FULL

  • Action: SEND EMAIL

  • Trigger: AFTER INVOICE INSTALLMENT PAID. (The invoice installment option will only show if you have attached a payment plan at the top - you will have to select WHICH payment this email will be sent after. Send this email with this trigger for each payment)

 

Copy/paste this into your email:

Hi {{client.firstName}},

Your payment of {{job.invoice | paid}} has been received. You can view your invoice and make payments anytime in your client portal. Your password is {{client | portalPassword}}

{{client | portalLink}}

{{job.invoice.items | packageItemNames}}

Date: {{curDate | mediumDate}}

Amount Paid: {{job.invoice | paid}}

Balance: {{job.invoice | remainder}}

Thank you,

*Save this as a canned email template!

(If you aren’t utilizing the client portal, than delete that part)

 

 

|03| MANUALLY SEND A PRE-WRITTEN EMAIL AS A RECEIPT.

If you receive payment via a check/cash or somewhere else, apply the payment under the ‘invoice’ tab, then manually email the payment receipt.

Open up the client project > invoice tab > click on the invoice and then click SEND from the menu on the right. This will open up an email box. If you’ve saved the above as a canned email template, tap that bookmark to add it to the page, or copy/paste & customize to your liking.

Send when ready!
