5 things you didn’t know Dubsado could do

👆🏼👆🏼👆🏼 I see this comment ALL.THE.TIME. If you feel like you’re missing out on Dubsado, you are definitely not alone!

I am constantly on the hunt for ways to streamline my own business operations, and from setting up Dubsado for countless others I’ve come across quite a few tricks. If you’ve ever felt that you were missing out on Dubsado features because it’s so overwhelming, this blog post is for you!

Did you know that there are some pretty nifty features hiding in Dubsado that most people aren't even aware of?!


I make a living from helping others utilize allllll the amazing features within Dubsado in a way that is tailored to their specific needs and makes sense for their business. (Seriously, watching my clients eyes light up each time I can take one more task off their plate is the best!)

So if you're ready to take your business to the next level, buckle up and let's dive into some of the lesser-known capabilities of Dubsado:



  1. SCHEDULE EMAILS TO SEND LATER IN DUBSADO

[project > email tab > new email]

  1. Compose your email as you normally would, and click the "Send" button.

  2. Instead of sending the email immediately, click the up arrow button located next to the "Send" button.

  3. A pop-up will appear, allowing you to choose the date and time you want the email to be sent.  Choose the time you would like the email to go out.

Now click over on the Workflow tab inside that same client’s project.  You just created a new workflow just for this email!  Pretty cool, huh?!  Bonus: You’ve still got time to edit it again if you need to before it gets sent out!


2. REMOVE DUBSADO BRANDING FROM YOUR FORMS

This is always one thing that blows my client's minds.  Don’t have a website? Not a problem.  You only have to purchase a domain to do this.  

Customize the URLs by taking ALL Dubsado branding off of your forms, schedulers, invoices, and client portals, so it literally looks like everything you send to a client is coming from straight your website.  It looks like this: instead of hello.dubsado.com it will be portal.yourdomain.com.

To white label your Dubsado forms, you’ll need to first set up a custom CNAME record by logging into your domain host.  Then add a new DNS record, select CNAME for the type, and for the data or value field type: ssl.dubsado.com.  Save it and then go back to Dubsado (it may take up to 72 hours to see it)

Next, go to Settings (gear icon at top right) > Domain names.  Go to Settings (gear icon) >> Domain names. Enter the URL you created in the URL field and tap VERIFY.  You should see a green pop-up that will confirm it’s registered and then you should see your custom URL. If you have any trouble, it’s likely on the CNAME part - I would do a web search for help for your specific provider.  

While you’re in the settings, go ahead and add a favicon image, page title, description and preview image! This is such a great way to level up your branding, appear even MORE professional - and the cherry on top is it’s available on BOTH plans!!  Boom! 


3. AUTOMATICALLY SEND FORM REMINDERS

Client didn’t sign that proposal?  Sometimes life happens and they may need a reminder.  Good news!  Good news - you don’t have to keep track or remember when it’s a good time to send a reminder.  Dubsado has your back on this!  

You’ll need to utilize the workflow option for this.  Send the first form inside a workflow.  Then create another SEND FORM action.  This time the trigger will be AFTER FORM IS NOT COMPLETED. You’ll select the original form to watch, and add a fresh copy to send again.  Best practice here would be to create a fresh email with a new copy to reflect the reminder going out. 

*This feature is only available on the Premiere Plan.


4. TRACK YOUR LEADS IN DUBSADO

Tracking leads in Dubsado is a MUST for every entrepreneur.  This is crucial for knowing where your marketing efforts are paying off.  

Here is how to track where your leads come from inside of Dubsado: Under the reporting drop-down on the left menu, you’ll click on PROJECT SOURCES.  Here you can add each source you normally get leads from.

Then add the PROJECT TRACKING ELEMENT on either your lead capture or public proposal (whichever is your main contact form on your website).  Make it a required field.  Now you’ll gather crucial data each time someone fills out that form! 

To view the data you collect, click on Templates < Reporting < Project Breakdown.


5. TRACK YOUR TIME & INVOICE RIGHT IN DUBSADO

Dubsado makes this SO easy!  Here’s how to track hourly work and send invoices right inside Dubsado

Over on the left-hand side of your account, click on UTILITIES and then TIME TRACKER.  Tap inside where it says WHAT ARE YOU WORKING ON, and type what you’re working on.  Then select the project from the drop-down, and the $ to enter your rate, tax, and description.   Press the PLAY button when ready.  MAKE SURE TO PRESS STOP WHEN DONE.

When you’re finished working, press STOP and then you’ll see an APPLY TO INVOICE button so you can add it straight to your client’s project.  

*There is another way to track time from inside the client’s project.  Click on the Invoice tab > Time tracker from the drop-down near the top > Start tracking time.


* SET YOUR “AWAY” TIMES

HERE IT IS. THE DUBSADO FEATURE I DON’T ACTUALLY LOVE 🫣 , BUT IT’S HERE AND YOU SHOULD AT LEAST KNOW ABOUT IT.  

You can set your business hours in Dubsado (or anytime when you don’t want Dubsado to work on your behalf).  I don’t actually think this is a good idea 99.9% of cases, but if it makes sense for your business, then go to Templates > Workflows and click at the top banner where it says WORKFLOWS.  

Note that this will pause any actions that happen outside of your business hours.  I had a client set this up without realizing it.  She woke up to an email from a lead that filled out her lead capture on their website and never received an automated response that her submission was received.  If you decide you don’t want client communication going out during night hours, be aware that it also affects new leads.  

Use this feature with caution!!!
