Elevating your client communication is essential for building strong relationships with your clients, enhancing their experience with your business, and ultimately driving more repeat business and referrals.  

I use Dubsado for 99.9% of my client communication.  By keeping all my client communication there, I’m able to set clear expectations, gain trust (hello automations and reminders!), be super responsive, proactive, organized, more professional than I feel most days when I decide my office feels better when I’m working on the sofa in my sweat pants with a top knot.  (judgement free zone here, mmmkay!)

 

Here are a few ways I implement creative and effective communication strategies with dubsado:




AUTOMATED & PERSONALIZED EMAILS

Automating emails where you can saves time and shows consistency - which in turn builds trust.  Good news - these are some of the EASIEST automations you can use in your business.  Here are some of the must-haves if you’re not sure where to start. 

  • Responses to inquires *a must*

  • Appointment confirmations & responses

  • Receipts

  • Emails to book appointments at certain times (like 4 weeks before an event)

  • Welcome email with next steps after the booking process is complete

Dubsado’s smart fields are pretty much the magical iingredient that allows this kind of automation while still keeping the correspondence completely custom.  This way you can tie in specific details to each project - client name, invoicing info, locations, etc.  You can even create your own custom smart fields if you want to capture wedding colors and reuse them in an email, or the client’s pet’s names and reference it back at some point. ←- random, i know, but you get the idea!  


CLIENT PORTALS

Brace yourself -  can access all the information related to their project, including invoices, and documents, appointments (hello convenient rebooking link!) & emails all in one place.   Create a link to the top nav on your website so you clients can easily login to their secure portal.  Having a centralized, secure location for all project-related information is a serious bar raiser for your business and I absolutely love that client portals are included in ALL Dubsado subscriptions.  



RECORD PERSONALIZED VIDEOS 

Sending a welcome video to your clients can be a powerful way to establish a personal connection and build trust right from the start.  This is a great way to set yourself apart from everyone else.  If part of your client process includes a proposal, welcome package, or onboarding guide, simply record a welcome message to your client and upload it onto that form. 


SEND GIFTS / BIRTHDAY CARDS

If you provide a high-end service, sending gifts and cards is such a fun way to set your business apart from everyone else’s. 

Utilize pointed questions and smart fields on your forms to gather information about your client, such as their birthday, favorite way to unwind, or find out their favorite coffee shop.  You can create custom-mapped smart fields to capture this information and store it right inside their project.  

Set reminders on your personal calendar or phone a week before their birthday to send out a card.  If you’re using workflows in Dubsado, create a to-do (check the email notification box)  to be triggered sometime near the end of the project to send a client gift.  


APPOINTMENT SCHEDULING

Dubsado's appointment scheduling feature is a GAME CHANGER!  will allow clients to schedule appointments with you directly from your website. This can help simplify the booking process and reduce the back-and-forth communication that often occurs during scheduling.  The benefits are many -here are just a few:

  • Book directly from your website or a link in an email/DM

  • Attach questionnaires or contact forms

  • Toggle on invoicing so nothing is booked without payment

  • Use appointments in workflows as a trigger for other actions “activate portal...after appointment booked” or “send proposal 1 hour after an appointment has ended”

  • Customize availability for different appointment types

  • Sync Dubsado’s booking calendar with your own personal calendar.

FOLLOW UPS

The fortune’s in the followup!  Its true, but also kind of eye-roll inducing.  Raise your hand if you’re a card-carrying member of the “i-can’t-remember-to-follow-up-in-a-timely-manner-club”.  Remembering to follow up with others definitely triggers my scattered brain.  Thankfully, Dubsado has a workflow trigger just for this.

If you send a form inside a Dubsado workflow, take note of this trigger:  WHEN FORM NOT COMPLETED.  It’ll look something like this:

  • SEND FORM | After workflow started (let’s select a proposal for this example)

  • SEND EMAIL | After form not completed (you will select the proposal you sent in the previou step, Select WHEN this email will be sent, and select the follow up email.


With the right tools and techniques, you can take your client communication to the next level and create a more positive and productive relationship with your clients.
